The problem

What the centre was working with.

Running an awarding-body-approved centre means living inside the regulator's evidence requirements. Before YionStack, the centre kept learner records in one system, assignments in another, IQA sampling evidence in a third, and tuition invoicing in a fourth — with the awarding body's reporting templates needing data from all of them at every cohort cycle.

Each system was fine on its own. None of them knew the same learner. The annual audit was a fortnight of cross-referencing, and the centre lead spent more time being an integration layer than running the programmes.

The switch

How the move actually ran.

The centre moved across a single OTHM cohort first — programme, learner list, enrolment dates, RPL records and the pack version they were registered under. Once that one ran cleanly, the rest of the cohorts followed over [METRIC_TBC] weeks.

The OTHM-specific shape — programme → cohort → learner → unit → assignment → IQA sample — became first-class records. Tuition invoices became normal accounting transactions tagged to the learner. The awarding-body submission stopped being an export-and-stitch job and became a one-click pack export.

The centre still runs the same programmes for the same learners. The difference is everything that used to live between the systems — the spreadsheets, the “who has the latest version” emails, the two-week pre-audit scramble — has been replaced by a single record. The audit pack exports from the same place the tuition invoice goes out.

When the awarding body updates its pack, learners enrolled under the previous version stay on that version automatically.
